QuickBooks Online vs QuickBooks Desktop, which should I use?

For a new business, QuickBooks Online is the better choice. It runs in the cloud, works on any device with internet access, and is where Intuit has been putting all their development energy for years. Desktop still exists, but Intuit is clearly steering everyone toward Online.

The practical difference comes down to accessibility. With QBO, you log in from any computer or your phone. Your bookkeeper logs in from their office. Your accountant accesses the same file at tax time without you having to export and email anything. There are no backup files to manage and no confusion about which version is current.

Desktop lives on one computer. You can install it on a second machine, but you’re still limited. If your laptop dies and you haven’t been backing up regularly, your books are gone. Collaboration means exporting files and sending them around, then importing changes and hoping nothing got overwritten. It works, but it’s clunky compared to everyone logging into the same cloud file.

Historically, Desktop had features that Online lacked. Advanced inventory, detailed job costing, and certain industry-specific tools worked better in Desktop. Some contractors and manufacturers still prefer it for those reasons. But for service businesses, which covers most small businesses, QBO handles invoicing, expense tracking, bank connections, and reporting without any gaps.

The bigger factor is where the product is heading. Intuit has discontinued standalone Desktop purchases in favor of subscriptions. New features consistently appear in QBO first. The gap between Desktop and Online will only grow, and not in Desktop’s favor. Starting on a platform that’s being phased out doesn’t make sense when the alternative handles most needs just as well.

If you’re already on Desktop and it’s working fine, you don’t need to rush to switch. But if you’re setting up accounting for the first time or your current Desktop file has become a mess, QuickBooks Online setup positions you on the platform with a future.
