Do I need a ProAdvisor to set up QuickBooks?

You don’t technically need a ProAdvisor to set up QuickBooks. The software is designed for business owners to use, and Intuit provides tutorials and setup wizards to get you started. Plenty of people set it up themselves and figure it out as they go.

The question isn’t really whether you can do it yourself. It’s whether the time you spend and the mistakes you make along the way end up costing more than having someone do it right from the start.

The most common DIY setup mistakes don’t show up immediately. You pick a chart of accounts that doesn’t match your business. You start entering transactions without setting up opening balances correctly. You connect your bank feeds but don’t understand how to review and categorize properly. Six months later, your reports don’t make sense and you can’t figure out why.

A ProAdvisor has done this setup dozens or hundreds of times. They know which questions to ask about your business before they configure anything. They set up your chart of accounts to track what actually matters for your decisions and your tax return. They configure bank feeds, payment processors, and any integrations so data flows correctly. They enter opening balances so your first month’s reports are accurate.

More importantly, a good ProAdvisor trains you to use the system yourself. The goal isn’t to make you dependent on them for daily bookkeeping. It’s to hand you a properly configured system with the knowledge to maintain it. You enter transactions, run reports, and handle the day-to-day. They did the setup work that makes all of that possible.

The alternative is learning through trial and error. That’s fine if your time is free and mistakes don’t matter. But most small business owners on Long Island have better uses for their time than troubleshooting why their profit and loss statement shows negative numbers that can’t be right.

Cleanup projects for books that were set up incorrectly typically cost more than setup would have. You’re paying someone to undo the mess before they can organize it properly. And you’ve lost months or years of reliable financial data in the meantime.

If you’re starting fresh with QuickBooks Online, consider having a ProAdvisor handle the QuickBooks Online setup and training. You’ll have a system that works from day one and the skills to run it yourself going forward.

How should a gym or studio record prepaid memberships and class packages?

Prepaid memberships and class packs are deferred revenue, not income. Record the payment as a liability when received, then recognize revenue as classes are used or membership time passes.

Technically no, but monthly bookkeeping prevents the year-end scramble that produces errors and stress. Keeping books current means you have accurate numbers for decisions and clean records when tax time arrives.
